Automatic payment reminders
Overdue invoices are chased for you, at 7 and 21 days, unless the order is on net terms, in which case you’re nudged instead.
Who gets chased
Each morning, thintent looks for invoices past their due date that the customer has actually received. On every payment rule except net terms, the customer is emailed a reminder at 7 days overdue and a final one at 21, and you are told each time. Due today isn’t overdue, and no reminder goes twice.
On Net terms, the customer is never chased automatically. A trade account expects to be spoken to. Instead you get an email at 7 and 21 days saying the invoice is overdue and yours to chase, and the invoice page offers Send payment reminder (then Send final reminder) so you can send one when you choose.
What isn’t chased
- An invoice that was never sent. No due date has started, so there is nothing to be overdue against. The dashboard lists these under “never sent”.
- An invoice whose email bounced.
- The balance on a deposit order, until the job is ready for dispatch.
- Cancelled jobs.
Seeing what went
The invoice’s History card lists every email, reminders included, and each opens the message as sent. The Payment reminder row in Invoice details shows when the last one went, or that it failed. Under History the footer states the rule for that invoice in plain words: reminders going out automatically, or nothing chased on these terms.
When an email bounces
You get an email the moment it happens, and the invoice shows Bounced with a Wrong address? Update it link. Fix the address there; it applies to everything sent to them from now on. Saving doesn’t resend, so press Try again after.
