Mark an invoice paid, or record part of it
Transfers, cash, cheques and your own terminal don’t tick themselves off. Record them on the invoice, in full or in part.
Paid in full
Open the invoice and click Mark paid. That records the whole outstanding balance as a bank transfer, dated today. If it came another way, or on another day, use Mark full balance paid and set the Paid on date and a note, or record it as a payment below.
Part of it
- Click + Record payment on the invoice, or in Invoices & payments on the job.
- Enter the Amount. It starts at the outstanding balance and can’t go over it.
- Set Paid on (the day it reached you, to match the bank statement), the Method (In-store terminal, Bank transfer, Cash or Cheque), and a Reference if you have one.
- Click Record payment.
The invoice becomes Partially paid, showing what has been paid and the balance still owed. Record the rest the same way when it comes. A payment you recorded by hand has an undo link next to it; card and credit-note payments can’t be undone.
Numbers and due dates
An invoice is a draft with no number until it reaches the customer: when you send it, when they pay it, or when you Mark as handed over for one given over in person. It takes the next number at that moment, and that is when its due date starts too, plus the credit days on net terms. Recording a payment on a draft issues it first.
Sending it
The send button reads Send invoice email before the first send, then Send again; Try again after a failure or bounce; Email receipt once paid. It is on the invoice, on each invoice row of the job, and on the quote’s “Where it is now” card. Sending freezes a copy of the PDF, which the invoice page keeps as PDF as sent.
