Plan the week on the day board

Your presses, finishing and packing down the side, Monday to Friday across the top. Drag each job’s work onto a machine and a day, and whoever’s on the press gets a run list to tick off.

Open it

Go to Jobs and click Day board. Each press you’ve added is a row, then Finishing and Packing. The columns are this week’s working days, today’s shaded; the arrows move a week at a time and This week brings you back.

What there is to book

A job’s work comes apart by where it happens: its printing on each press its lines use, its finishing, and its packing, which names the boxes from the packaging on the quote. Each piece waits in Not scheduled on the left, soonest due first, until you book it. Outsourced lines, and extras a supplier does, aren’t there: that time is theirs.

  1. Drag a card from Not scheduled onto a machine and a day.
  2. Drop it on another card to put it before that one, or on the empty part of the day to put it last. The numbers on the cards are the run order.
  3. To move it, drag it to another day or machine. To unbook it, drag it back to Not scheduled.

Looking for one job? Type in Find a job at the top of the tray: a job number, a customer or what it is. The tray narrows to the matches and every other card on the grid fades.

Where work can go

  • Printing goes on the press it was costed on, or another press of the same type that’s linked to the same stock under Stocks it runs. It keeps its own press’s time wherever it goes.
  • Work with no press to read it from, like a typed-price line, is Printing that can go on any press.
  • Finishing only goes on Finishing, and Packing only on Packing.

While you drag, only the rows the card can go on will take it.

How full each day is

Every card shows how long it takes, from the press, finishing and packaging times on the job (see How long a job takes). A + after the time means part of it has no time set; “untimed” means none of it has. Each day’s bar fills against the machine’s hours, as in “3h 55m of 7h · 3h 05m free”, and turns red when it’s past them, with how far over.

A press’s hours are Hours a day on its own page under Settings › Pricing › Printers. Finishing’s and Packing’s are at the foot of Settings › Pricing › Finishes and Packaging. Whole hours from 1 to 24; leave it blank for 7. Owners set these.

The chips along the top

  • machine-days overbooked: days with more booked than the machine’s hours.
  • scheduled but not ready: jobs booked for today or later that are still waiting on something.
  • not scheduled: the work still in the tray.

Booking work that isn’t ready yet

You can book a job before it can run: that’s how a week gets planned. The card says what it’s waiting on (Awaiting payment, No artwork yet, Proof not sent, Proof not approved or Change order open) and, while it’s still in the tray, Ready to print once the proof is approved. Nothing stops the booking; it’s your call.

The run list

  1. On this week’s board, click Today’s run list › under a machine’s name. It opens that machine’s day in big type, in run order, for whoever’s on it.
  2. Click Done as each job goes through, or Undo if you ticked the wrong one.

A tick marks that booking done and nothing else. The job stays at its stage until you move it, on the board or the job page.

When the job moves on, or changes

  • Once a job is Dispatched or Completed, its bookings read as done without anyone ticking them, and any on a later day come off, freeing the time.
  • At Ready for dispatch, only its packing is still waiting to be booked.
  • Move a ticked booking to another day or machine and it loses its tick.
  • If a change order takes away the work a card was booked for, the card says Job changed since booked — drag to Not scheduled to clear.
