Start a job from a quote

A job exists the moment you confirm the order, not when the customer accepts. Confirming raises the invoice too.

After the customer accepts

You get an email, “Q-N accepted”, and the quote shows Awaiting review. Nothing has been created yet. Open the quote: an amber panel shows the fulfilment they chose and any PO number they gave, with two buttons.

  1. Click Confirm order & start job.
  2. Pick the Payment rule: Pay before start, Pay before dispatch, Net terms (with credit days), or Deposit, then balance (with the percentage). Tick the payment methods to offer.
  3. Leave Email … an order confirmation ticked unless you have a reason not to. On credit terms, Send the invoice now too is unticked to start with, handy if you’re still waiting on their PO.
  4. Add a PO number and a Wanted by date if you have them, then click Confirm & start job.

If the customer is a business with no address yet, the modal asks for one first, with a one-click Use this job’s delivery address. If you’d rather change the quote than confirm it, Request revision opens a new draft; their acceptance doesn’t carry over.

Or start it without their acceptance

For a price agreed on the phone or in the shop, a draft or sent quote has Start job. It accepts on the customer’s behalf and starts the job now. The modal asks the same things, plus the fulfilment and delivery address the customer would have chosen, with Use their last delivery address or Use the address on their record to fill it. They never see the quote page, but they are emailed an order confirmation unless you untick it.

What gets created

The quote becomes Confirmed and its lines are frozen. A job is created, J-1000 upwards, and an invoice with it. On Deposit, then balance two invoices are raised: the deposit now, and the balance with the deposit taken off. The order confirmation email carries the pay link and the invoice PDF, which is the invoice reaching the customer.

Where the job starts

  • Pay before start and Deposit, then balance: the job waits at Awaiting payment. It moves to Pre-press when the invoice, or the deposit, is paid.
  • Pay before dispatch: straight into Pre-press, with dispatch locked until paid.
  • Net terms: straight into Pre-press, nothing locked.
