Send a purchase order to a supplier
Work that goes out to the trade gets a purchase order from the job, emailed with the PDF. There is no supplier portal; they reply to ordinary email.
Mark the work as outsourced on the quote
On a custom line, tick Outsourced and pick the supplier, or + Add a new supplier… with their name and email. On an auto-configured line, each extra has a Who does it column: in-house, or a supplier, whose extra is then costed at Their price (one for each quantity the quote offers, in Full breakdown). What they charge is the cost, so your mark-up stays honest. The customer’s quote reads the same either way.
Raise the purchase order from the job
- On the job, under The work, the Sent out card lists each supplier with what’s outstanding. Click Raise purchase order.
- The draft PO covers all of that supplier’s work on this job, priced from the costs on the quote. Check the lines, add a Message to the supplier, set Needed by.
- Click Send to …. The email goes with PO-N.pdf attached and asks them to quote the number on their invoice. Or Download PDF and send it your own way.
- When the work turns up, click Mark received.
There is one live PO per supplier per job; clicking Raise again reopens it. Purchase orders are numbered PO-1000 upwards and listed across every job under Purchase orders in the sidebar, filtered by Draft, Sent or Received.
A PO for work you didn’t tick on the quote
Under The work, Send to a supplier writes a PO for anything: an extra, a whole job you’ve decided to put out. Its Their price is optional; leave it blank and add it when you find out, and the job’s mark-up updates then. The customer’s price and invoice never change.
