What your customer sees when they accept

The link in the email is the quote. No account, no portal: they read it, pick their options, and accept.

The email

Subject “Quote Q-N from Your Shop — £X”, from your shop’s name, with replies going to whoever raised the quote. Your Message to customer goes at the top; otherwise a standard opener. Then a View & accept quote button, the options and the line table, and a PDF link.

The page

Your name and address, the quote number, Download PDF (the copy frozen at send), your message as A note from Your Shop, and the lines. Then the accept panel:

  • Choose a quantity on any line that offers more than one.
  • How would you like to receive this? with each option you offered and its price. Collection shows your address. If you offered only one, it’s stated rather than asked. A service with nothing to deliver asks nothing.
  • For delivery, an address form: name, company, address, postcode, and a phone for the driver.
  • Purchase order number, optional.
  • Accept £X, and a quieter Decline this quote.

The total updates as they choose. Valid until is shown, 30 days from sending; past it, the page says the quote has expired and offers no button.

If they decline

Decline this quote asks why, optionally: the price, going with another supplier, the timing, not needing it any more, or something else, plus a box for a note. You get an email and a bell with whatever they said, and the quote’s history shows it.

After they accept

They see “Thanks — we’ve got your order and we’re reviewing it now”, plus your artwork instructions if you’ve set them. They get a “We’ve got your order” email, and so does anyone you copied in. You get an email and a bell: “Q-N accepted”. No job, invoice or payment exists yet; that’s you confirming the order.

Paying

Once you’ve confirmed, the same page shows how to pay: Pay £X by card, Pay £X by bank, or your bank details, whichever the quote offered. Their invoice link and PDF arrive with the order confirmation. When it’s paid, the page says so.
